Presentation Guidelines

Instructions for Oral Presentations
(Hybrid)

Presentation time: 15 minutes presentation + 5 minutes Q&A

Onsite presentation:

  • Prepare your presentation files in both .ppt and .pdf format (to avoid technical problems such as missing fonts).
  • Join the onsite session according to the final program. Please arrive at the session room at least 15 minutes before the session starts to check your presentation materials.
  • Presentations are to be done on the laptop provided at the event. Please prepare a USB stick for transferring your presentation files to the laptop.
  • Presentations will also be livestreamed via Zoom for online attendants.

Online presentation:

  • Given Zoom livestreaming, please access Zoom at least 15 minutes before the session starts to check your presentation materials including the internet connection.
  • To ensure undisrupted presentation, please prepare a backup internet connection (such as 4G mobile hotspot) in case your main internet connection goes down.
  • Online attendants can join the presentation via Zoom.
  • Your presentation will be also mirrored to the projector in the session room for on-site attendants.

Instructions for Poster Presentations
(Hybrid)

Both onsite and online poster presenters are required to upload your poster file in advance by November 15 using this link.

Onsite presentation:

  • Please upload your poster file via the above link by November 15.
  • Please print your poster prior since we do not provide printing service at the event. However, we can recommend local printing shops near the venue in case of emergency.
  • On the conference date, please post your posters at the designated spot. For more information, please see the On-Site Poster Session page.
  • *Important* Please use the adhesive provided by our staff. Please do not use your own glue or tape to avoid damaging the poster stand.
  • Presentation time will be given in the final program.
  • Participants can view posters posted at the venue, or on the virtual website.
  • Q&A will be made live at the onsite poster session. You may also receive questions from online attendants via the comment box in your poster page on the virtual conference website.

Online presentation:

  • Please upload your poster file via the above link by November 15.
  • All posters will be posted on the virtual conference website during the conference dates.
  • Participants can view posters posted on the virtual conference website.
  • Q&A will be made via the comment box in your poster page on the virtual conference website.
  • Interactive Q&A sessions will be held on November 30 – December 1. Online posters are divided into 3 groups: A, B and C with different times for live Q&A. You can find your assigned group in the Full Program page (rightmost column).
  • Throughout the Q&A session time, the presenters are requested to monitor their own comment box and answer questions. You may also freely visit and post questions to other online posters.

Poster Presentation Preparation

  • The poster board surface area is 1.2 m high by 0.9 m wide.
  • We do not specify the poster format, but each poster should include the paper title, authors and affiliation must fit within the space.
  • Ensure text and illustrations are bold and large enough to be read from a distance of three to four feet (1M).
